Engagement Coordinator

Department: Office of School Advancement

REPORTS TO: Senior Director of Engagement

Sidwell Friends, a coeducational Quaker day school, seeks a full-time Engagement Coordinator to work with the Advancement Department, located on its DC campus. The Engagement Coordinator supports the planning, implementing, and managing of the comprehensive engagement program for donors, alumni, and friends of the School. Reporting to the Senior Director of Engagement, this position facilitates strong and sustained relationships with constituent groups and key stakeholders, engaging them in meaningful ways in the life of the School. Working collaboratively to advance the goals of the department, the Engagement Coordinator has a demonstrated track record of in-person and virtual event support, digital communications and marketing, administrative support and an interest in learning alumni engagement and donor engagement best practices.

Key Responsibilities:

Engagement Events and Communications

  • Deliver logistical and communications support for in-person and virtual donor and alumni engagement events and programs throughout the year:
  • Facilitate all facets of event logistics including planning and implementing timelines, event conception and design, vendor management, expense monitoring and budgeting, invitation and printed materials cultivation, event database management, post-event financial reconciliation, and cross-departmental team support.
  • Provide support for donor communication initiatives for donors at all levels:
  • Support the execution of key stewardship donor communications, including Report on Philanthropy (annual report) and Advancing Friends (philanthropy newsletter).
  • Prepare and send donor engagement opportunity (i.e., wedding, birth/adoption, promotion) letters and packages.
  • Prepare specialized donor communications, as needed.
  • Other duties as assigned.

Digital Engagement

  • In collaboration with the Communications and Engagement team, design, create, and execute digital communications and marketing to donors, alumni, and friends of the School.
  • Produce email invitations and RSVP web pages for events, along with various newsletters.
  • Provide graphic design services to digital communications and marketing efforts.
  • Produce content for and update office webpages.
  • In collaboration with the Alumni Engagement team, create schedule, deploy, and engage across the Schoolís alumni social media channels (Facebook and Instagram).
  • Write copy for social media to drive engagement and assist with graphic design as needed.
  • Track and report on content performance across social channels.
  • Maintain social calendar and content strategy, to align with digital trends.
  • Other duties as assigned.

Management Support

  • Provide direct support to the Senior Director of Engagement.
  • Assist with the coordination of meetings and activities for the Engagement team.
  • Track and reconcile budgets for the Engagement team; serve as a liaison to the business office.
  • Ensure effective tracking of engagement activity.

Qualifications:

A Bachelorís degree is required with one to three years of experience in alumni engagement or donor engagement, preferably in a higher-education or independent school setting. The successful candidate will be a strategic thinker who is eager to continue learning about relationship management, fundraising, stewardship, and engagement programming. Professionalism, discretion, creativity, willingness to travel and work occasional irregular hours, and the ability to deal with confidential information are vital in this role.

Required

  • Must be a self-motivated, highly dependable worker with the ability to effectively prioritize work, problem solve, and function in a highly collaborative environment.
  • Able to work in a fast-paced environment and handle multiple tasks simultaneously, prioritize projects to meet deadlines.
  • Skilled in project and event management, both in-person and virtual.
  • Excellent written and verbal skills.
  • Strong organizational skills and ability to manage complex, multi-phase projects from inception to completion.
  • Ability to represent the School with internal and external constituents in the community by attending events and social gatherings as needed.

Desired

  • Knowledge of fundraising principals and best practices in alumni engagement and/or donor engagement.
  • Experience using The Raiserís Edge NXT in a non-profit setting.
  • Graphic design skills.
